1. Introduction

SquadOp ("we," "us," or "our") operates the squadop.com platform and the SquadOp mobile application for iOS and Android (together, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Service. Please read this policy carefully. By accessing or using SquadOp, you agree to the terms of this Privacy Policy.

2. Information We Collect

We may collect the following types of information:

  • Account Information: Name, email address, and password when you create an account. Athlete accounts are created by a parent/guardian or club administrator and use a username and PIN — we do not require an email address or phone number from an athlete.
  • Club & Organization Data: Club names, team rosters, coach information, compliance documents, and other operational data you enter into the platform.
  • Payment Information: Payment details are processed by Stripe. We do not store credit card numbers on our servers.
  • Player & Minor Information: Names, dates of birth, grade levels, and guardian contact information for registered players.
  • Messages & Content You Post: Team chat messages, announcements, event RSVPs and any notes you attach to them, and attendance records. Chat messages are visible to the other members of that channel and to club administrators for moderation.
  • Push Notification Tokens: If you enable notifications in the mobile app, we store the device token issued by Apple or Google so we can deliver schedule changes, announcements and messages. Deleting the app or signing out removes the token.
  • Usage Data: Log data, device information, and diagnostics about how you interact with the Service.

We do not collect precise location, contacts, photos, health data, or advertising identifiers, and the Service contains no third-party advertising or cross-app tracking.

2a. Mobile App Permissions

The SquadOp mobile app asks for the following device permissions. Each is optional and the app remains usable if you decline:

  • Calendar: Used only to add your team's events to your device calendar and to keep those entries correct when a practice or game is moved or cancelled. Calendar entries are written and updated on your device; we do not read, upload, or store your personal calendar.
  • Notifications: Used to send schedule changes, announcements, chat messages, and event reminders.

3. How We Use Your Information

  • To provide, maintain, and improve the SquadOp platform.
  • To process payments and manage season registrations.
  • To send compliance alerts, scheduling notifications, and other service-related communications.
  • To respond to your inquiries and provide customer support.
  • To detect, prevent, and address technical issues or security threats.

4. Information Sharing

We do not sell your personal information, we do not share it for advertising or cross-context behavioral purposes, and we do not use it to track you across other companies' apps or websites. We may share information with:
  • Service Providers: Third-party vendors who assist in operating the Service — Stripe (payments), Supabase (data hosting and authentication), Vercel (application hosting), Resend (email delivery), Twilio (SMS delivery), and Expo together with Apple Push Notification service and Firebase Cloud Messaging (push notification delivery). These providers process data on our behalf and are not permitted to use it for their own purposes.
  • Club Administrators: Club admins can view data related to their clubs, including coach, team, and registration information.
  • Legal Requirements: When required by law, regulation, or legal process.

5. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your information. Sensitive data such as passwords and API credentials are encrypted at rest. However, no method of electronic transmission or storage is 100% secure.

6. Children's Privacy

SquadOp is used by youth sports organizations that collect information about minors. A player's record is created by a club administrator or by the player's own parent/guardian during registration — never collected directly from a child through advertising, sign-up forms, or public pages.

An athlete login (username and PIN) can only be created by the parent/guardian or club administrator who already manages that player's record, which is how we obtain verifiable parental consent before a child can sign in. An athlete account collects no email address, phone number, or contact information from the child. Athletes can post in their team's moderated channels but cannot start private one-to-one conversations.

We do not serve advertising, do not use children's data for marketing, do not sell or share it, and do not permit third-party behavioral tracking anywhere in the Service. A parent/guardian may review, correct, or delete their child's information — including revoking the athlete login — at any time from the parent portal or by contacting hello@squadop.com. If we learn we have collected information from a child in a way that is inconsistent with this policy, we will delete it.

7. Data Retention & Account Deletion

We retain your information for as long as your account is active or as needed to provide services.

You can delete your account yourself: in the mobile app, open Profile → Delete account. Deleting an account removes your login and the personal profile attached to it, along with your chat memberships and any push notification tokens. An athlete deletion removes the athlete's login; the player record itself remains under the parent/guardian who owns it.

Registration, payment, and other financial records are retained in unlinked form (no longer associated with your login) because we are required to keep them for tax, accounting, and dispute-resolution purposes. 8. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, or delete your personal information. To exercise these rights, contact us at hello@squadop.com.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date.
